Manager Responsibilities

Hampton Park has two community managers. Carolyn Grimes from Community Group is our off-site manager. Bill Anderson is our on-site manager.

In February 2006, the Board hired our first full-time on-site manager to provide a regular on-site presence and handle the day-to-day issues that arise in our community. Our manager duties are outlined below:

Off-Site Manager Responsibilities

  • Collects annual assessments and all that the term “collects” implies.
  • Provides bookkeeping services. All the money comes in and goes out through Community Group.
  • Assists the On-Site manager with supervising contractors
  • Sends correspondence to residents on behalf of Board of Directors/On-Site Manager
  • Prepares financial statements and assists with budget preparation.
  • Provides administrative, procedural, legal and accounting advice
  • Coordinates taxes and annual audit
  • Does legally required mailings to members of the community (ex. Annual meeting notices)
  • Coordinates the yearly production of the Phone Directory
  • Provides records storage and disclosure packages for new homeowners
  • Provides copies of Declarations and Bylaws upon paid request
  • Prepares all necessary federal and state documents/forms/filings
  • Attends regularly scheduled Board meetings and the annual meeting
  • Coordinates insurance
  • Provides 24-hour emergency maintenance services
  • Upon request, is required to do a Board orientation session

On-Site Manager Responsibilities

  • Serves as the primary contact between the Homeowners Association and the residents of the community.
  • Performs homeowner property inspections to identify covenant and ARB violations. Will send initial violation notices and follow-up on homeowner action and schedule violation hearings.
  • Performs common area inspections and follows up for compliance.
  • Attends all Board meetings and some committee meetings.
  • Manages all facilities rentals (Festival House, Pool, Gazebo, Funhouse Birthday Parties etc.).
  • Coordinates the printing and delivery of board minutes and The Park Commons.
  • Deals with immediate repair and vending machine issues by contacting and supervising contractors as needed. (Not necessarily pool at this time)
  • Offers suggestions to the Board for improvements to community.
  • Coordinates ARB requests
  • Monitors, communicates and follows up with projects the ARB has in progress and verifies work has been completed as allowed in ARB approval.
  • Has a thorough knowledge of Bylaws, Covenants and Articles of Incorporation for Board consulting.
  • Attends seminars and workshops provided by Community Group to keep up to date on changing legislation.
  • Researches and follows up on requests by the Board
  • Keeps up-to-date community records on-site, including minutes and other Board and committee actions, all current contracts, and current copies of Bylaws, Declarations, and Guidelines.
  • Coordinates community decorations, i.e., the seasonal banners and the holiday lighting.
  • Puts up and takes down Board meeting reminder signs and keeps the notices on the kiosk up to date.
  • As an expansion of the job duties, the new on-site manager will run fun house check-out during the week, put up decorations,and keep the putt-putt course and other areas free of debris.
